The museum is seeking a personable, detail-oriented, and technology savvy individual to serve as Museum Operations Associate undertaking responsibilities that focus on the operations of the facilities, procedures, technology and functions of the museum as they apply to the physical building, visitor services, utilities, vendors, and the ability to support the organization’s programs an offerings. The Associate reports to the Executive Director and works closely with the Board of Directors, staff, and Advisory Boards as required. This is a full-time position with a unique opportunity to play a creative, visible and significant role in the continuing development of the new museum and programs.

Essential Functions and Responsibilities

·        Oversee facilities management including managing vendors, assessing building conditions and requirements, licensing, environmental standards, and building safety, maintenance and modifications of facilities and exhibits for museum use and standards.

·        Manage and support a Customer Relations Management (Neon CRM) database, including data entry, running reports and queries

·        Develop and support of an archival system and process.

·        Develop and improve our visitor services program and visitor/audience experience

·        Handle and track of requirements for public safety, government licensing and permits and compliance

·        Support marketing/donor relations through indirect means (research, mailings, emails, phone calls, etc.)

Conduct outreach and follow-up, including mailing prospect kits and scheduling meetings

·        Assist in the intake of inquiries, donations, and other contacts and organize receipts and acknowledgment letters for all gifts

·        Assist with planning, creative process, and organization of programs and events particurly in areas where operations is integrated

·        Manage a process for scheduling the in-person scheduling of volunteers and employees for public hours and events

·        Track and delegate projects/duties to volunteers, interns or other team members as required

·        Oversee retail in-store and online operations

·        Perform other job-related duties as assigned

Qualifications

·        Bachelor’s degree in Marketing, Journalism, Business, Museum Studies, or related field or equivalent work experience; a strong interest in or coursework in Asian-American studies or similar humanities a plus

·        Demonstrated experience working with Customer Relations Management system (e.g., NeonCRM, Salesforce)

·        Demonstrated education or relevant experience in museum operations, marketing and fundraising

·        Ability to handle multiple projects simultaneously

·        Highly organized and detail oriented with an emphasis on quality control and professionalism

·        Ability to work independently and enjoy working in a team environment

·        Excellent communications skills, both oral and written

·        Communicate with discretion, confidentiality, and tact

·        Strong computer skills, including proficiency in Microsoft Office, databases, and cloud-based productivity tools, with superior knowledge of social media platforms a plus.

·        Chinese language skills a plus, but not required.

Working Conditions

Washington, DC Metropolitan Area, office an public space environment, standard hours with some weekend and evening requirements. In-person work at the museum required with some flexible teleworking possible and as required by public health conditions. This is a full-time position at either an Associate or Manager level. Salary is commensurate with experience and skillsets.
